New Appointment & Cancellation Policy

At Salon Vintage, we value our clients’ time—and we must also protect the livelihood of our stylists. Our stylists are not paid hourly; they are compensated per service performed. When an appointment is missed, canceled late, or abandoned without communication, the stylist loses income and a time slot that could have been filled by another paying client.

To ensure fairness, consistency, and sustainability for our team, the following policies are strictly enforced.

Deposits & Booking Requirements
• A 20% deposit is required on all services to secure your appointment.
• If the deposit is not paid within 72 hours of booking, the appointment will be automatically canceled.
• A valid credit or debit card is required on file to hold all appointments.

Deposit Application
• All deposits paid will be deducted from the total service cost at the end of your appointment.
• The remaining balance will be due upon completion of services.

Deposit Use & Refunds
• Deposits are non-refundable within 24 hours of the scheduled appointment.
• If you cancel more than 24 hours in advance, your deposit will be refunded or may be transferred to a future appointment, at your choice.
• If you need to reschedule, your deposit will be retained and transferred to your next appointment date.

Required Client Forms
• All required client forms must be completed prior to your appointment.
• Forms must be filled out before arriving at the salon to ensure adequate service time and proper consultation.
• Failure to complete required forms may result in appointment delay, rescheduling, or cancellation, and standard cancellation policies will apply.

Definition of a No Show

A no show is defined as:
• Failure to arrive for your scheduled appointment without any communication, or
• Canceling after the scheduled appointment time has passed.

No Show Fee
• All no shows without proper communication will be charged 50% of the scheduled service cost to the card on file.

Late Cancellations (Less Than 24 Hours)

A late cancellation occurs when an appointment is canceled less than 24 hours before the scheduled start time.
• Late cancellations will be charged 50% of the service cost to the card on file.
• This policy applies regardless of the reason for the late cancellation. However we do understand emergencies happen and will be handled by management and you stylist on a case by case scenario. Documentation maybe required or requested.

Late Arrivals Without Communication

A late arrival without communication is defined as arriving 15–20 minutes past your scheduled appointment time without notifying the salon.
• The appointment will be canceled
• A no show fee of 50% of the service cost will be charged to the card on file

Late arrivals may also affect the quality or completion of services due to time limitations. Some services may be delayed due to time.

Why These Policies Exist

These policies are in place to:
• Protect our stylists’ income
• Respect their time and professional expertise
• Reduce appointment gaps that cannot be refilled on short notice

When a client no shows or cancels late, the stylist loses both income and the opportunity to serve another client. Hair may be a luxury to some but it’s how we pay our bills.

For this reason, our stylists may strategically double-book appointments to help ensure consistent income and minimize financial loss caused by missed or late-canceled appointments.
